what arthic collects, why, who it's shared with, and how to see, correct, or delete it.
1. who this policy covers
This Privacy Policy explains how arthic ("we", "us", "our") collects, uses, shares, and protects information when you visit arthic.tech, join the waitlist, apply for a role, or — once it launches — use the arthic exam-prep platform. If you're under 18, please read Section 8 as well, since a lot of our users are.
2. what we collect today
Right now, the site has exactly two forms, and we only collect what you put into them:
- waitlist signup — your email address. That's the only field.
- job application — your name, email address, the role you're applying for, an optional link (portfolio, LinkedIn, GitHub, etc.), your message or cover note, and, if provided, your availability and preferred start window.
We don't buy, scrape, or import data about you from anywhere else, and we don't ask for anything beyond what these two forms request. Both forms include a hidden field that real visitors never fill in — it exists only to catch automated spam submissions, and anything submitted through it is discarded, not stored against a real profile.
3. information collected automatically
Like any website, our hosting provider's servers log standard technical information for every request — your IP address, browser type, the page requested, and the time of the request — for security and abuse-prevention purposes. We don't currently run any analytics, advertising, or tracking cookies, and we don't use a third-party font or script CDN that would let an outside company log your visit. The one piece of browser storage the site uses is localStorage, purely on your device, to remember your light/dark theme preference — it's never sent to our servers and contains no personal information. If we ever add cookies or analytics, we'll update this page first and ask for consent where required before turning them on.
4. once the AI mentor is live
The AI mentor doesn't exist yet — today's site is a waitlist and a hiring page. Once it launches, using it will necessarily involve processing what you type into it (your questions, the mistakes you make, which concepts you're stuck on) so it can actually teach you, and likely involve sending that text to a third-party AI model provider to generate a response. We'll publish a full update to this policy before that feature ships — not after — spelling out exactly what's stored, which providers are involved, how long it's kept, and how to delete it.
5. how we use what we collect
- to add you to the waitlist and email you when early access opens, and occasionally with progress updates before then;
- to review your job application and contact you about it;
- to detect and prevent spam, abuse, or attempts to break the site's forms; and
- to keep the site secure and diagnose problems, using the automatic technical logs described in Section 3.
We don't use your information to build an advertising profile, and we don't sell it — see Section 6.
6. who we share it with
We don't sell, rent, or share your information with advertisers or data brokers. It's currently stored in a Postgres database, hosted through Supabase, on infrastructure we run through Vercel — both of which act as data processors on our behalf under their own security and confidentiality commitments, not as independent owners of your data. We may disclose information if required by law, a valid legal process, or to protect the rights, safety, or property of arthic or others. If arthic is ever acquired or merges with another company, your information may transfer as part of that deal, subject to this policy (or a successor policy we'll notify you about).
7. how long we keep it
- waitlist emails — kept until you ask us to remove them or use the one-click unsubscribe link included in every email we send.
- job applications — kept for as long as the role stays open, plus a short window afterward in case it reopens, then deleted; we may keep a minimal record (name and role applied for) longer if needed to demonstrate a fair hiring process.
- technical/server logs — kept for a limited period for security purposes, then routinely cleared by our hosting provider.
8. children and students under 18
Many arthic users are in their final years of school, preparing for exams like MDCAT or ECAT — which often means they're under 18. The Service isn't directed at children under 13, and we don't knowingly collect information from anyone that young. If you're under 18, please check with a parent or guardian before joining the waitlist or applying for a role, and don't include anyone else's personal information in a form without their knowledge. If you believe a child has submitted information they shouldn't have, email us at the address in Section 12 and we'll remove it promptly.
9. security
We use reasonable technical measures — including access controls on our database and encrypted connections between your browser and our servers — to protect your information. No system is completely secure, and we can't guarantee absolute security, but we take the responsibility of holding your data seriously precisely because we're small enough that a breach would be personal, not abstract.
10. your rights and choices
Email hello@arthic.tech and ask us to show you what we have on file about you, correct it, or delete it outright — we handle these by hand, since we're small enough that "by hand" is still realistic, and we'll confirm once it's done. Every waitlist email also has a one-click unsubscribe. Where applicable data protection law gives you additional rights (such as data portability or the right to object to certain processing), the same email address is how to exercise them.
11. changes to this policy
If how we handle data changes in a way that matters, we'll update this page and move the "last updated" date at the top. We won't backdate a change to cover something we already did, and for a material change (like the AI mentor launch described in Section 4), we'll try to notify waitlist members directly rather than relying on you to re-check this page.
12. contact
Questions about this policy, or a request to access, correct, or delete your data: email hello@arthic.tech — a real person on a small team will read it.
